Apply for A South African Police Clearance Certificate (PCC) From-Vietnam

Police clearance from abroad

The short answer

South Africans living in Vietnam can get a South African police clearance certificate (PCC) without returning home. The certificate is issued by the South African Police Service (SAPS) in Pretoria, so your fingerprints, documents and certificate all have to travel between Vietnam and South Africa. The South African Embassy in Hanoi has published guidance saying it can assist with fingerprints, but it does not issue the certificate.

MGA Experiences confirms what your application requires, checks your documents before anything is sent, manages the South African side of the process, and arranges DIRCO authentication and translation where needed.

Living in Vietnam does not remove the requirement. The fingerprints and the paperwork simply have to travel further.

Why South Africans in Vietnam need a police clearance

Vietnamese residency, immigration or work permitsThe authority decides whether a South African PCC is needed and how recent it must be.
Employment and background checksConfirm whether a South African certificate, a Vietnamese one or both are required.
Emigrating onwardThe UK, Australia, Canada, New Zealand, the United States or Europe.
Study and registrationStudy, professional registration and other official purposes.

What we need from you

A full, clear set of fingerprints on the applicable form (such as SAPS 91(a)), a copy of your South African ID or passport, your full name, date and place of birth and ID number, any maiden or other surnames with proof, your last South African address, your current address and phone number in Vietnam, and details of who will receive the certificate and what it is for.

Documents required may vary. Please check with us in advance to confirm your requirements before you start.

How the process works from Vietnam

  1. Confirm what the receiving authority wants

Ask how recent the certificate must be, whether DIRCO authentication or a translation is needed, and whether other documents must accompany it.

  2. Get your fingerprints taken

The South African Embassy in Hanoi has published guidance saying it can assist with fingerprints. Contact it first to confirm availability, appointments and what to bring. The published address is 3rd Floor, 31 Hai Ba Trung Street, Hanoi, but check current details with DIRCO. You may alternatively use a local police station, as long as the prints are on an acceptable official form.

  3. Send us your documents

We review everything against your requirements and flag anything missing or inconsistent before it goes further.

  4. MGA manages the South African side

We coordinate the process and keep you updated, so you are not chasing a government department from another country.

  5. Originals travel by tracked courier

The original fingerprint record must physically reach South Africa, and the finished certificate cannot be emailed. Certificates not collected within three months of finalisation are destroyed, so we make sure yours is collected and delivered promptly.

  6. DIRCO authentication if required

Depending on the destination, this may be an apostille or a Certificate of Authentication. We confirm which applies and arrange it.

  7. Translation or further legalisation if required

Confirm the acceptable language, whether the translator must be certified and whether authentication must come first. The wrong order can mean paying twice.

How long does it take, and how long is it valid?

SAPS publishes an estimate of about 15 working days from receipt of a complete application, with a warning that backlogs can extend this. That estimate excludes courier time, DIRCO authentication and translation, so treat it as a best case.

A South African police clearance has no fixed expiry date, but the authority asking for it sets its own age limit. DIRCO will not legalise a certificate older than six months from its date of issue, and some authorities are stricter.

Why applications from Vietnam get delayed or rejected

Unclear or incomplete fingerprints

Prints that must be retaken add another courier round trip.

Courier delays

Delayed or untracked shipments.

Details that do not match

Differences from your ID or passport, or missing proof of other surnames.

Outdated forms or instructions

Using an old form or superseded guidance.

Backlogs and unplanned authentication

Processing backlogs and authentication requirements not allowed for.

A certificate that ages out

It can pass its age limit before you submit it.

What MGA Experiences does for South Africans in Vietnam

We confirm the requirements for your visa, residency, work permit or onward application, check your documents and fingerprints before anything is sent, manage the South African side, arrange DIRCO authentication and coordinate translation where required. If something could cause a rejection or push your certificate past its age limit, we tell you before it goes in, not weeks later.

Planning rule

Work backwards from the date you will submit. Allow for fingerprints, courier both ways, processing, collection and authentication or translation, and make sure the certificate is still within its age limit on submission day.
